Overview

In some cases it may be necessary to customize a Polycom phone's display beyond the default Sharpen configuration, such as adding additional line keys, updating display names, or adding external contacts. This article covers how to perform these modifications using the Polycom web configuration tool.

Accessing the Polycom Web Configuration Tool

The following steps apply to all configuration sections in this article. Complete them first before making any changes.

1. On the phone, navigate to Settings > Status > Network > TCP/IP Parameters to identify the phone's IP address.

2. In a web browser, enter https://[IP address] — for example, https://10.0.5.68.

3. If a security warning appears, choose to proceed to the page.

4. Log in using the following credentials:

   • Username: Admin

   • Password: 6311

Optimizing Line Key Screen Real Estate

This setting reduces the number of line keys displayed per line, freeing up screen space on the phone's home display.

1. Access the Polycom web configuration tool using the steps above.

2. Navigate to Settings > Lines.

3. Select Line 1 from the left panel.

4. Expand the Identification section.

5. Set Number of Line Keys to 1.

6. Click Save.

Adding a New Line Key

Adding a new line key registers an additional extension on the phone. This provides an alternate outbound dialing path but does not enable simultaneous ringing on both registrations, as BLF (Busy Lamp Field) would.

1. Access the Polycom web configuration tool using the steps above.

2. Navigate to Settings > Lines.

3. Select Line 2 from the left panel. Line 1 is your primary registered line — use Line 2 (or higher) for additional lines.

4. Expand the Identification section and complete the following:

   • Address

     • Enter the extension in the format 100con9999.

   • Label

     • Leave blank.

   • Type

     • Set to Private.

   • Third Party Name

     • Leave blank.

5. Expand the Authentication section and complete the following:

   • Use Login Credentials

     • Leave disabled.

   • User ID

     • Enter the extension being added (e.g., 100con9999).

   • Password

     • Enter the password for the extension. To locate the password, navigate to Admin > Configuration > Extensions in the Sharpen Portal, select the extension, and copy the value from the password field.

6. Click Save.

7. Repeat for any additional lines as needed.

Using Friendly Line Key Names

This setting allows you to assign a readable display name to a line key, which will also appear in Caller ID.

1. Access the Polycom web configuration tool using the steps above.

2. Navigate to Settings > Lines.

3. Select the line you want to rename from the left panel.

4. Expand the Identification section and complete the following:

   • Display Name

     • Enter the name you want to display. This value will also appear in Caller ID.

   • Label

     • Leave blank to inherit the Display Name value. Enter a custom value here only if you want the line key label to differ from the Caller ID name.

5. Click Save.

6. Repeat for all configured lines.

Adding External Contacts

External contacts can be added directly from the phone's directory for quick access to frequently dialed numbers.

1. Press the Directory button on the Polycom home screen.

2. Press the + button to add a new contact.

3. Enter the First Name and Last Name.

4. Enter the phone number in the Contact field.

5. Press Save.

Note: Externally added contacts are not persistent. Rebooting the phone will erase any manually added contacts, as the device reloads the Sharpen contacts directory upon restart.

In some cases, it may be necessary to change the display of a Polycom phone to include additional lines, change the display names, or add additional external contacts. The references below indicate how to perform these modifications through the Polycom web configuration tool. These steps should be taken with caution since they do not align with the default configuration which Sharpen endorses. Should you run into issues, it is encouraged to factory reset the device and re-provision to the defaults. In addition, should you have your custom configurations in place and decide to factory reset the phone, the next provision will pull the Sharpen default configuration, requiring a repetition of these steps.
