Polycom Provisioning

This article provides the steps to configure a Polycom phone to automatically connect to Sharpen. Before starting you should ensure that the following has been entered into the specific extension you are programming the device to. Please confirm the following has been saved and designated within your account portal before proceeding:

 

  • The MAC address has been designated and saved on the proper extension
  • Device type & device group have been designated and saved on the proper extension

Provisioning Your Polycom Phone
  1. Update Firmware if not already completed (See below for details)
  2. Boot up phone
  3. Select Menu
  4. Select opt. 3 'Settings'
  5. Select opt. 2 'Advanced'
  6. Enter Admin password (by default: 456)
  7. Select opt. 1 'Admin Settings'
  8. Select opt. 5 'Reset to Defaults'
  9. Select opt. 5 'Reset to Factory'
  10. After Phone/device finishes resetting, power the phone off.
  11. Power the phone back on
  12. Press the 'Setup' button on the screen's menu (**If the 'Setup' button does not appear, please follow steps 1-7 at the bottom of this section.)
  13. Enter the admin password and press 'OK'  (Default password: 456)
  14. Scroll down to 'Server Menu' and press 'Select'
  15. Make the following changes:
    • Server Type: HTTP
    • Server Address: provision.fathomvoice.com/phones/polycom/configs/
    • Server User: (blank)
    • Server Password: (blank)
  16. Press 'Exit'
  17. Press 'Exit' again and click 'Save & Reboot' if prompted
  18. The phone will display a boot count down
  19. Wait for the phone to finish booting

**No Setup button:

 

  1. Let phone boot up to main display
  2. Press 'Menu' > 'Settings' > 'Advanced'
  3. Enter Admin Passcode: “456”
  4. Select Admin Settings > Network Configuration
  5. Select 'Prov. Server' & then make the following changes:
    • Server Type: HTTP
    • Server Address: provision.fathomvoice.com/phones/polycom/configs/
    • Server User: (blank)
    • Server Password: (blank)
  6.  Confirm changes are correct > 'Press Back' > 'Save & Confirm' (as prompted)
  7. Wait for the phone to finish booting




Upgrade Firmware to 4.0

  1. Boot up the phone
  2. Press the 'Setup' button on the screen's menu
  3. Enter the admin password and press 'OK'  (Default password: 456)
  4. Scroll down to 'Server Menu' and press 'Select'
  5. Make the following changes:
    • Server Type: FTP
    • Server Address: provision.fathomvoice.com
    • Server User: polyup
    • Server Password: 456 
  6. Press 'Exit'
  7. Press 'Exit' again, click 'Save & Reboot' if prompted
  8. The phone will display a boot count down, do nothing here just wait for the phone to move forward
  9. The screen will change as the firmware is upgraded to version 4.0
  10. The phone will reboot and come back to the count down screen once it has been upgraded
  11. Be sure to perform the Factory Reset at the beginning of the provisioning process, especially after completing a firmware upgrade.

Re-provisioning from another provider
If you are provisioning a Polycom phone that was previously used on another provider, you will need to make sure that the phone has been completely reset to Factory Defaults. Otherwise, the previous configuration may interfere with our provisioning process. If you are unable to perform a full Factory Default on the phone you are attempting to provision, try the following steps:
  1. Locate the MAC Address of the phone you are working with and write it down. (Example MAC Address: 0004F2XXXXXX)
  2. Remove power from the phone.
  3. While the phone is powering back up, do the following:
    • For SoundPoint IP 331, 335, & 450: press and hold the 1, 3, 5, and 7 keys on the dial pad at the same time
    • For SoundPoint IP 550, 650, 5000, & 7000: press and hold the 4, 6, 8, & * keys on the dial pad at the same time
    • For IP 6000: press and hold the 6, 8, and * keys on the dial pad at the same time
  4. Continue holding down the keys until you are prompted to enter the admin password.
  5. Enter the MAC Address of the phone (letters should be entered as lower case). To use letters, try one of the following:
    • Press the # key to get into alpha mode
    • on VVX series phone, press "mode" to switch to alpha mode
    • IP Series press the option 1/A/a to switch to alpha mode.
  6. You should now be able to access the phone using the default admin password of "456" and continue with the provisioning process.
